Can people find your files when they download them?

The file name that broke my heart (and what it taught me)

Hey, how's it going?

This week I "attended" two amazing virtual summits: Aligned AI Summit by Ruth Poundwhite and Now That's a Membership by Kate Philpot. I learned a ton and explored the incredible free resources these speakers offered.

But then my organizer heart broke a little.

One downloaded file was named: 6717f42996a5d_ShortFileNameHere.pdf

(And yes, I anonymized the file name because I’m not here to shame anyone. However, those random letters and numbers did really start this file this way. Again, these women are amazing and I look up to them. We each have our strengths. Theirs collectively is AI and memberships, and mine is file organization.)

Most files were better: "27 Secrets to XYZ.pdf" or "Welcome to XYZ Magnet.pdf" - but they were still missing something crucial.

Task: Evaluate Your File Names (Both Ways)

This week, I want you to look at file naming from both sides:

Part 1: Files You Create for Others

Look at any downloadables, freebies, or resources you share. Do the file names include:

  • Your name or business name at the beginning?
  • Clear description of what it is?
  • Logical organization when grouped together?

Instead of: "Ultimate Guide to XYZ.pdf" Try: "YourName Ultimate Guide to XYZ.pdf"

Why? When someone's Downloads folder is stuffed full, all your files group together alphabetically. They see your name, remember you, and can find your stuff easily.

Part 2: Files You Download

When you download someone else's resources, do you rename them to fit your system?

My system: "Speaker Name - Event Name - Resource Title.pdf" Example: "Kate Philpot NTAM Membership Secrets.pdf"

This way, everything from the same person or event stays grouped together in your learning resources folder.
